Terms of Service

These terms are an agreement between you and 5 Rivers Lab (“RSVPji”, “we”, “us”), the operator of rsvpji.co.uk. They apply when you buy or use the RSVPji service. Please read them before you send us a guest list.

1. What the service is

RSVPji contacts the guests on a list you give us, over WhatsApp, to collect RSVPs, plus-one counts, dietary requirements and accommodation needs. We record the answers, show them to you in a dashboard, and give you a final headcount before your wedding.

RSVPji is a communication and record-keeping tool. It is not an event planner, and it does not contract with your venue or caterer on your behalf.

2. Your guest list — the important bit

By uploading a guest list you confirm that:

• the phone numbers are correct, and belong to people you have invited to your wedding;
• you have a genuine relationship with each of them such that a message about your wedding would be expected and welcome;
• you are not using RSVPji to send marketing, promotional, political or bulk unsolicited messages of any kind.

You are the data controller for your guest list. We process it on your instructions, as set out in our Privacy Policy, which forms part of these terms. If a guest asks us to stop, we stop — immediately and without asking you first.

3. What we will do

• Message guests only between 07:00 and 22:00 UK time.
• Pace messages so they do not look like a bulk blast.
• Identify ourselves as messaging on behalf of your family. We will never claim to be a specific person.
• Honour a guest's STOP immediately.
• Give you a kill switch that halts all outbound messages for your wedding.
• Delete the guest list 30 days after your wedding date unless you ask otherwise.

4. What we cannot promise

Messages are delivered over WhatsApp, a third-party network we do not control. We cannot guarantee that every message is delivered, that a guest reads it, or that a guest replies. We cannot guarantee uninterrupted availability of WhatsApp or of our dashboard.

Guest replies are interpreted by an automated system, which will occasionally be wrong. You are responsible for reviewing the final headcount before you give it to your venue. We give you the dashboard and the full message history precisely so you can check.

5. Prices and payment

• Prices are per wedding, exclusive of VAT, and are stated on the pricing page at the time you order.
• Payment is due in full before we send the first message, unless we agree otherwise in writing.
• Planner white-label licences are billed annually in advance.
• A “wedding” means one couple and one connected series of events. Two separate weddings need two licences.

6. Acceptable use

You must not use RSVPji to:

• message people who have not been invited to the event;
• send anything unlawful, harassing, deceptive or commercial;
• impersonate another person or organisation;
• circumvent a guest's opt-out;
• resell the service without a planner licence.

We may suspend a campaign immediately, without refund, if we reasonably believe it breaches this clause or puts our WhatsApp sending permissions at risk.

7. Liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited. Your statutory rights as a consumer are unaffected.

Subject to that, our total liability to you arising out of the service is limited to the fees you paid us for that wedding. We are not liable for indirect or consequential loss, nor for catering, venue or seating costs arising from a headcount you did not check.

8. Cancellation and refunds

• As a consumer you have 14 days from ordering to cancel for a full refund, under the Consumer Contracts Regulations 2013. If you ask us to start messaging inside that window, you may be charged for the portion of the service already performed.
• Cancel more than 14 days before your first outreach message and we refund in full.
• Once outreach has begun, the fee is non-refundable, because the work has been done.
• If your wedding is postponed, we will move your licence to the new date at no cost.
• We may cancel and refund you in full if we can no longer deliver the service — for example, if WhatsApp withdraws our sending permissions.

9. Intellectual property

We own the RSVPji software, brand and dashboard. You own your guest list and your data. Nothing here transfers ownership either way.

10. Changes to these terms

We may update these terms. The version that applies to your wedding is the one in force on the day you paid. We will email you if we change them materially before your wedding.

11. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you live in Scotland or Northern Ireland you may also bring proceedings in your own courts.
